What hides inside the price

Brewing system

Bean-to-cup units carry a grinder and a brewer; instant units carry powder canisters and a mixing bowl. Ask for a photo of the brewing unit inside the quoted machine, not the marketing render.

Milk

Milk powder needs a canister. Fresh milk needs a chilled compartment, a milk line and a cleaning cycle every day. Ask which one is quoted and how the milk line is cleaned.

Water supply and scale

A tank machine needs refilling; a plumbed machine needs a mains connection with backflow protection to EN 1717 and a filter matched to your water hardness. Scale in the boiler is the usual first failure.

Cup station

Ask the cup sizes the dispenser takes, whether lids are dispensed, and what happens when cups run out mid-order. A machine that brews into an empty bay wastes product and angers customers.

Contact materials and cleaning

Every part that touches water, coffee or milk falls under Regulation (EC) 1935/2004. Ask for the declaration of compliance for those parts and the daily and weekly cleaning routine in writing.

Brew your full menu back to back through a simulated peak with your own beans or powder.	Every drink reaches the cup at the temperature and volume set on screen, with no drip after the cup is removed.
Run the automatic cleaning cycle on film, then open the brewer and milk line.	No coffee grounds or milk residue in the brewer, mixing bowl or line after the cycle.
Empty the cup stack, then order a drink.	The machine refuses the order before brewing, refunds, and shows the fault in telemetry.

EU Declaration of Conformity for the exact model, citing the machinery law in force on delivery, 2014/35/EU and 2014/30/EU or 2014/53/EU.
Test report to EN 60335-2-75 for commercial dispensing appliances.
Declaration of compliance under Regulation (EC) 1935/2004 for all water, coffee and milk contact parts.

The one people forget. The cleaning and descaling manual in the local language. Food hygiene under Regulation (EC) 852/2004 is the operator's duty, and your inspector will ask how the milk line is cleaned.

Buy something else if

Named, not hedged

You want chilled cans and bottles, not drinks made to order.

Buy a beverage vending machine. It has no boiler or brewer to clean or descale.

Staff will serve coffee at a counter anyway.

Buy a commercial espresso or bean-to-cup office machine without payment and cup handling, and save the vending cabinet.
